Job Description

1. Coordinate project meetings: You will schedule and manage meetings involving team members and stakeholders to ensure clarity and collaboration throughout project phases.
2. Track appointments: Maintain detailed logs of team, customer, and project appointments, ensuring transparency and follow-up actions.
3. Document discussions: Continuously record interviews and meetings, providing structured summaries to support decision-making and project tracking.
4. Support communication flow: Facilitate smooth interactions between sub-projects and different stakeholders, resolving communication gaps and ensuring timely updates.
5. Prepare presentations: Create visually appealing reports, spreadsheets, and project documents using tools like Excel and PowerPoint for client presentations.
6. Capture project metrics: Collect and analyze project data to report on timelines, progress, and efficiency, helping leadership make informed decisions.
7. Assist with deadlines: Work closely with teams to monitor milestones and ensure projects are delivered on time without compromising quality.
8. Reuse documentation: Organize project files and documentation for future reference and use in other projects to maintain consistency and efficiency.
9. Provide technical support: Assist in troubleshooting and providing solutions to streamline project workflows using tools like Jira and Confluence.
10. Foster customer relationships: Communicate clearly with clients through remote and onsite meetings, building trust and ensuring satisfaction.

Key Responsibilities

1. Stakeholder coordination: You’ll act as the central point for communication, aligning priorities between internal teams and external customers to ensure seamless project execution.
2. Meeting management: Oversee the scheduling and facilitation of meetings, making sure that key action points and follow-ups are recorded and addressed promptly.
3. Information documentation: Keep structured and detailed records of discussions and interviews, providing reference material that supports team accountability and project clarity.
4. Communication support: Help maintain consistent and open communication channels across teams, mitigating misunderstandings and delays in project delivery.
5. Reporting and analysis: Prepare comprehensive reports using tools like Excel to showcase project status, resource allocation, and client feedback, driving continuous improvement.
6. Deadline monitoring: Collaborate with project leads to track progress, ensure adherence to schedules, and provide timely alerts about potential risks or bottlenecks.
7. Knowledge sharing: Develop templates and resources that can be reused, ensuring that lessons learned are applied to future projects for increased efficiency.
8. Customer engagement: Build long-term relationships with clients by addressing concerns promptly, facilitating discussions, and ensuring satisfaction through proactive communication.

Requirements

1. Experience: At least 1 year of experience in project coordination, project assistance, or team support within technical environments such as Cloud computing or IT services.
2. Communication: Excellent verbal and written communication skills in English, capable of interacting with clients, stakeholders, and remote teams efficiently.
3. Analytical skills: Ability to process complex information, structure tasks logically, and deliver solutions while working independently in dynamic environments.
4. Tools proficiency: Experience using Atlassian Suite (Jira, Confluence, Trello), O365 (Excel, PowerPoint), and familiarity with modern methodologies like Scrum and Kanban.
5. Cloud knowledge: Strong interest or basic knowledge in Cloud-driven transformation, with a willingness to learn and adapt quickly to new technologies.
6. Problem-solving: Ability to identify gaps, suggest improvements, and handle stressful situations with organizational precision and calm decision-making.
7. Flexibility: Open to handling new challenges, taking feedback constructively, and supporting different teams in a fast-paced project environment.
