Job Description

  1. Provide administrative HR support to managers and employees, ensuring smooth HR operations and compliance with company policies.
  2. Maintain accurate Time and Attendance Records, assisting employees with registration and training on the time clock system.
  3. Act as a timekeeper, verifying employee timecards weekly or biweekly, ensuring accuracy and compliance with labor regulations.
  4. Process various employee and payroll reports, ensuring timely submission of hours to payroll teams and recruitment agencies.
  5. Support employee onboarding and terminations, ensuring compliance with HR policies and seamless process execution.
  6. Perform HR documentation and record-keeping, managing confidential personnel files and employee records securely.
  7. Assist in recruitment processes, including phone screenings, background checks, and interview coordination for warehouse roles.
  8. Manage vacation accruals and leave reports, preparing and sharing data with departmental leaders monthly.
  9. Coordinate with recruitment agencies on workforce requirements, attendance issues, and compliance matters.
  10. Provide general HR administrative support, handling daily inquiries, reports, and operational assistance for the HR department.

Key Responsibilities

  1. Deliver local HR administrative support by addressing employee and manager queries promptly, ensuring an effective HR service delivery.
  2. Register and manage timeclock systems, providing training and troubleshooting support to ensure accurate attendance tracking.
  3. Conduct timecard verification weekly/biweekly to resolve missing punches, discrepancies, and ensure compliance with labor laws.
  4. Run and process payroll reports accurately, ensuring correct hours are reported to payroll teams and agencies.
  5. Assist in recruitment activities, from candidate screening to interview scheduling, supporting the HR specialist with high-volume hiring.
  6. Manage employee leave and vacation balances, updating departmental leaders with regular status reports.
  7. Handle employee relations support, maintaining confidentiality, accuracy, and timely communication across HR functions.
  8. Ensure legal compliance and documentation, assisting in audits, policy implementation, and employee lifecycle management.

Requirements

  • Education: Bachelor’s degree in Human Resources Management or related field; CHRP certification preferred.
  • Experience: Minimum 1 year in an HR Assistant role, focusing on employee relations and HR administration.
  • Technical Skills: Proficiency in MS Word, Outlook, Excel, and HRIS systems; payroll software knowledge is an asset.
  • Soft Skills: Strong communication, attention to detail, and time management abilities, with the capacity to work in a fast-paced environment.
  • Other Requirements: Ability to lift up to 30 lbs, flexibility for standing/walking, and adaptability to changing HR demands.
